JOB TITLE:
College of Arts & Sciences Dean's Office Senior Office Associate
JOB PURPOSE:
Perform complex administrative/management support tasks with discretionary authority; independently make decisions that substantially impact operations within and outside College of Arts & Sciences Dean's Office; administratively supervise comprehensive office operations and support staff for the College of Arts & Sciences.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Independently interpret policy and procedures, providing interpretations requiring extensive knowledge of University, state, and federal rules and regulations. Provide guidance on policy and procedure to students, faculty, and staff.
- Perform complex problem resolution, serving as a resource for all College of Arts & Sciences department staff, faculty, and students.
- Assist with, and provide leadership for, event planning activities for college events, including several large events, as well as recurring smaller events.
- Perform accounting duties to include procurement card reconciling, purchase order submission and payment, reimbursement submission, invoice submission, interdepartmental transfer processing, and oversight of the payment of monthly bills.
- Support College committees, providing research to compile, develop, analyze, and integrate data. Prepare related reports and correspondence; perform research for special projects as assigned by supervisor.
- Create and/or maintain complex records systems and/or databases, including management of Arts & Sciences Course Action Proposals and student documents.
- Coordinate information between individuals, departments and/or outside agencies as directed; assist with problem resolution as required.
- Make recommendations on and revise existing office policies, systems, methods, and procedures; create/revise related documentation. Ensure compliance with policies and procedures.
- Manage office annual calendar, including tracking and sending annual awards, correspondence, and related announcements.
- Along with other staff, serve as main office contact to include answering phone calls, responding to emails, scheduling appointments, and assisting with walk-in visitors.
- Supervise work-study students and manage responsibilities of the Office Associate.

MINIMUM QUALIFICATIONS:
Education: Associate's degree or an equivalent combination of education and experience
Experience: 1 year progressively responsible work-related experience
DESIRED QUALIFICATIONS:
- Experience with purchasing, procurement cards, and purchase orders
- Experience with electronic record keeping and reporting
- Experience in higher education, government, or non-profit organization
- Event planning experience
- Excellent written and verbal communication skills

On-campus: This position provides vital support to campus customers, and the successful candidate must be available to work on campus.
